GolfBooking User Manual

Step-by-step documentation for common GolfBooking management portal workflows, including tee sheets, pricing, members, reservations, payments, reporting, and customer display settings.

Register For A Stripe Account

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Payment Settings.
  3. Complete the Stripe Integration process by selecting Create Stripe Account.
  4. Create a new Stripe account with your email address, then complete the business, banking, and financial details required by Stripe.
  5. When setup is complete, Payment Settings will show whether the account is enabled or whether Stripe still needs additional details. Your Stripe Account ID will also be visible.

Create A Tee-Sheet

  1. Open the GolfBooking Management Portal.
  2. From the navigation menu, select Schedule Templates.
  3. Review active and disabled templates, booking rules, and the option to create a new template.
  4. Click Create New Template.
  5. Fill out the template name, start and end date, minimum and maximum booking time, booking start increments, booking duration increments, and booking days in advance.
  6. Click Create Template to save the new tee-sheet.

Edit A Tee-Sheet

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Schedule Templates.
  3. Find the template you want to edit and click Edit Booking Sheet.
  4. On the tee-sheet editor, review the current pricing and hours-of-operation strategy for each day of the week.
  5. To edit pricing or availability, click Update on an existing booking slot or select a vacant slot.
  6. Update the template name, days of the week, affected bays, start and end time, status, and price.
  7. Click Update Schedule Template Detail to save the change.

Create And Change Pricing

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Prices.
  3. Click Create New Price.
  4. Fill out the price name, description, price, currency code, interval, optional additional attendee cost, capture method, charge percentage or amount, and charge-back transaction fee.
  5. Click Create Price.
  6. Go to Schedule Templates, find the booking sheet you want to change, and click Edit Booking Sheet.
  7. Click Update on an active time slot, choose the new price from the Price field, and click Update Schedule Template Detail.

Create Schedule Overrides

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Schedule Overrides.
  3. Click Create New Override.
  4. Fill out the override name, affected bays, affected templates, start and end date, daily start and end time, status, and price when the status is open.
  5. Click Create Schedule Override.
  6. The override becomes active according to the dates, times, bays, templates, and status you selected.

Create Different Admin/User Accounts

GolfBooking supports multiple admin and employee logins for the facility management portal.

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Users.
  3. On the Users page, review existing accounts or click Create New User.
  4. Enter full name, email address, username, and password.
  5. Choose Admin for the full management experience or User for a limited staff experience.
  6. Click Create User.
  7. The new account can now log in to the backend management portal with permissions based on the account type.

07

Create A Member

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Members.
  3. Click Create New Member.
  4. Enter username, full name, email address, and phone number.
  5. Click Create Member.
  6. The registered email address receives a password setup link that expires after 24 hours.
  7. After the password is created, the customer can sign in from the customer reservation calendar.

Add Notes To Customers

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Members.
  3. Search for the customer by name, email, or phone number.
  4. Click Manage Member in the member action column.
  5. In the notes box, click Add Note.
  6. Enter the note and click Add Note in the popup.
  7. The note will be saved on the customer file for future reference.

Create Customer/Member Booking On Behalf Of Customers (Admin)

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Reservations, then choose Today or This Month depending on the booking date.
  3. On the reservation calendar, select the customer's desired start time from an available booking slot.
  4. Choose Customer Booking or Member Booking. Member Booking shows registered facility members and can pre-fill details during checkout.
  5. For a customer booking, enter end time, full name, email address, phone number, number of guests, and payment capture method.
  6. Choose no payment for on-site POS payment, or manually enter payment details when needed.
  7. When complete, the booking appears on the reservation calendar.

Edit, Cancel, And Move Reservations

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Reservations, then Today.
  3. Navigate to the reservation date and click the reservation you want to change.
  4. In the Reservation Details popup, scroll to the bottom.
  5. Choose Cancel This Reservation, Move This Reservation, or Edit This Reservation to update end time, address, phone number, or number of guests.

Create Statuses

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Statuses.
  3. Click Create New Status.
  4. Enter a status name and choose the calendar color.
  5. Check or uncheck whether the status is used for a closure. If checked, tee times can still be bookable while the tee sheet displays a different status/color.
  6. Click Create Availability Status.

Change Booking Status On The Calendar

  1. Open the GolfBooking Management Portal.
  2. Create the desired status under Statuses if it does not already exist.
  3. Go to Schedule Templates and find the schedule template you want to update.
  4. Click Edit Booking Sheet.
  5. Click Update on an active time slot.
  6. Find the Status field, choose the desired status, and click Update Schedule Template Detail.

Capture Or Cancel Credit Card Holds

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Booking Logs.
  3. Set the date range and search booking logs.
  4. Click View on the reservation you want to inspect.
  5. In the reservation details popup, click Capture Held Funds to capture the held balance or Cancel Hold to release it.
  6. Holds can also be captured or cancelled from the admin reservation calendar by opening the reserved booking slot.
  7. A hold may also expire automatically after 7 days, depending on standard bank behavior.

Create Tags And Add To A Customer

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Tags.
  3. Click Create New Tag.
  4. Enter the tag name and click Create Tag.
  5. After the tag is created, assign members to the tag from the Unassigned Members box.
  6. Select the desired members and click Add Members.

Create And Manage Gift Cards

  1. Open your GolfBooking Reservation Management Portal and log in to your account.
  2. From the menu on the left-hand side of the screen, click Gift Cards.
  3. From the Gift Cards dropdown menu, select Public Links.
  4. In the Public Links section, you can view existing gift cards, view gift card purchases, and create new gift cards.
  5. Gift cards created in this section will be publicly available through your GolfBooking customer shop on your customer-facing website. Click Create Gift Card to begin building it out.
  6. Optionally, select View All from the Gift Cards dropdown menu to view all listed gift cards in your system or create gift cards tied directly to specific members or customers.
  7. Within either section, select the option to create a new gift card and complete the required details, such as gift card name, value or pricing, and description.
  8. Once saved, your gift card will become available based on the visibility settings you selected.

Create Subscriptions (Monthly Recurring)

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Payments, then Subscriptions.
  3. Click Create Subscription.
  4. Enter full name, email address, phone number, credit card details, amount, and subscription information such as name, duration, and billing periods.
  5. Click Create Subscription to confirm.
  6. Alternatively, go to Members, manage a specific member, scroll to Subscriptions, and click Create Subscription.
  7. Enter subscription details and confirm. If the member does not have a saved card, use the Payments workflow above.

Create A Transaction On Behalf Of A Customer

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Members.
  3. Search for the member by name, email, or phone number.
  4. Click Manage Member in the action column.
  5. On the member profile, scroll to Transactions and click Create Transaction.
  6. Enter amount, tax/transaction fee setting, capture method, description, and optional booking or group booking confirmation number.
  7. Click Process Transaction.
  8. The transaction will process through the customer's payment method on file. This requires the customer to have a saved payment method.

Create A Group Booking

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Reservations, then Today or This Month.
  3. Open the reservation calendar and select the customer's desired start time from an available slot.
  4. Choose customer booking or member booking based on the customer status.
  5. When the checkout process opens, click Group Booking to select the affected bays.
  6. Complete the rest of the reservation checkout form and choose the payment capture method.

Create A Recurring Booking

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Reservations, then Today or This Month.
  3. Open the reservation calendar and select the customer's desired start time.
  4. Choose customer booking or member booking.
  5. In checkout, click Recurring Booking.
  6. Choose weekly, daily, monthly, or yearly recurrence; select the days of the week and end date.
  7. Complete the rest of the checkout form and choose the payment capture method.

Add A Charge-Back Fee To A Reservation

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Prices.
  3. Create a new price or edit an existing price.
  4. At the bottom of the price form, find Charge-Back Transaction Fee.
  5. Change the dropdown from No to Yes.
  6. Click Create Price or Update Price.

Download A Data Export

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Reporting.
  3. Select the timespan you want to export.
  4. Click Download Data Export.
  5. A Microsoft Excel file will download to the default download location.

Change Between Reservation Wizard or Calendar

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Settings.
  3. In Update Customer Display Settings, find Default Customer View.
  4. Choose Tee Sheet or Reservation Wizard from the dropdown.
  5. Click Update Display Settings to save.

Change Reservation Slot Text and Colour

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Settings.
  3. In Update Customer Display Settings, update Reserved Slot Color and Reserved Slot Text.
  4. Set the desired values.
  5. Click Update Display Settings to save.

Change Your Cancellation Notice

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Settings.
  3. In Update Customer Display Settings, find Customer Cancellations and Cancellation Notice.
  4. Enter the desired cancellation notice in hours.
  5. Click Update Display Settings to save.

Create Bay Categories

  1. Open the GolfBooking Management Portal.
  2. In the side navigation, click Bay Categories.
  3. Click Create New Bay Category.
  4. Enter bay name, description, and maximum number of attendees.
  5. Click Create Bay Category.
