Privacy Policy

Effective date: October 22, 2026.

1. About this policy

2654131 ONTARIO INC., operating as GolfBooking (“GolfBooking,” “we,” “us,” or “our”), is based in Ontario, Canada. We are responsible for the personal information we handle through our public marketing website, https://www.golfbook.ing, and related website inquiries and demo requests.

This policy covers the main marketing website only. It does not cover information collected through our separate signup website, customer booking websites, or the GolfBooking platform. Please review the privacy notice provided at the relevant service. If a separate notice is not available, contact privacy@golfbook.ing before providing information there.

For questions or requests about this policy, email privacy@golfbook.ing.

2. Information we collect

Information you provide

Our contact form collects your name, email address, facility type, and message. You may also provide a telephone number. If you email us directly, we receive the information in your email and any attachments.

Contact submissions are emailed to info@golfbook.ing, a distribution address used to deliver inquiries to our team. The email also includes the submission time, your IP address, and browser information. We handle subsequent email correspondence through Gmail. Website contact submissions are not automatically entered into a CRM.

Our Book a Demo links take you to a Google Calendar appointment page. We receive the appointment and contact information you provide when arranging a demo. Google also handles information under its own privacy terms.

Please do not include payment-card details, government identification numbers, or other sensitive information in a website inquiry.

Technical information

Our website infrastructure processes technical information needed to deliver pages and protect the service, such as your IP address, requested pages, browser information, and request times. Contact-form delivery logs can include the inquiry recipient and the sender’s email address, or error details if delivery fails.

Analytics information

We use Google Analytics 4 to understand website use. Information can include visited pages, referral sources, browser and device information, cookie identifiers, and interactions with our website.

The interactions we measure include clicks on Book a Demo and Start for Free, successful contact-form submissions, and video playback. Our website’s custom tracking events do not include the values entered into the contact form.

Privacy preferences

We store your privacy choices in your browser’s local storage. This record includes your selections, the time saved, a version identifier, and an expiry time. It normally expires 183 days after you save your choices, unless you save them again or clear your browser storage.

3. How we use information

We use information to:

  • Answer questions and respond to product inquiries.
  • Arrange demonstrations and follow up on requests you make.
  • Operate, maintain, and troubleshoot the website and contact form.
  • Detect spam, misuse, and security problems.
  • Understand website performance and visitor interactions through optional analytics.
  • Handle privacy requests, meet legal requirements, and establish or defend legal claims.

Submitting an inquiry or booking a demo does not automatically subscribe you to promotional email campaigns. Communications sent after you become a customer are outside this website policy’s scope.

Providing contact information is voluntary. Without the information marked as required, we may be unable to process a form or respond to your request.

4. Cookies, analytics, and video choices

Our website uses local storage and may use cookies or similar technologies provided by optional services. You can manage the available categories through the consent banner or the Cookie Settings control in the footer.

Analytics: Where enabled, Google Analytics 4 measures website visits and interactions. You can decline or withdraw permission for optional analytics through Cookie Settings.

YouTube videos: The homepage initially displays a locally hosted thumbnail. Clicking its play control loads a YouTube player using the privacy-enhanced youtube-nocookie.com domain. Your browser then connects to YouTube, which receives technical information such as your IP address and browser details and may use storage associated with its service. Google’s Privacy Policy applies to that playback. You can play the video even after rejecting optional analytics. Playing it does not enable analytics, and the choice is not saved for later visits.

Browser settings can also be used to clear or restrict cookies and local storage. Clearing the consent record means the website may ask for your preferences again. Withdrawing consent does not affect the lawfulness of processing that took place before withdrawal.

5. Spam protection

Our contact page uses Google reCAPTCHA v3 to help identify spam and abuse. When configured, reCAPTCHA loads on the contact page before you make a cookie choice and remains available if you reject optional cookies.

Loading reCAPTCHA connects your browser to Google. When you submit the form, our server sends the reCAPTCHA response token and your IP address to Google for verification. Google’s Privacy Policy and Terms of Service apply to its processing.

This protection is separate from our optional website analytics. You can contact us by email if you prefer not to use the form.

6. Who receives information

Our team receives website inquiries to respond and follow up. Our main website uses:

  • Amazon Web Services (AWS): website hosting on servers in the United States.
  • Amazon Simple Email Service (SES): delivery of website inquiry emails.
  • Google/Gmail: email correspondence, Google Calendar demo scheduling, reCAPTCHA spam protection, optional Google Analytics, and YouTube playback.

These providers process information as needed to deliver their services, according to their roles and applicable terms. Third-party services may also process information for their own purposes as described in their privacy notices.

We may disclose information where required by law or lawful process, to address fraud or security threats, or to establish, exercise, or defend legal rights. Information may also be involved in a merger, acquisition, or transfer of our business, subject to applicable privacy requirements.

7. Where information is processed

Our main website is hosted on AWS servers in the United States. Our inquiry emails, correspondence, and third-party services may be processed in Canada, the United States, and other countries where relevant providers operate. Information processed in another country may be accessible to its courts, law-enforcement agencies, or other authorities under local laws.

You can ask privacy@golfbook.ing for more information about our service providers and international handling of personal information.

8. How long information is kept

Website inquiry emails and related correspondence currently remain in our email accounts unless deleted. We do not currently apply a fixed automatic deletion period to these messages. You may contact privacy@golfbook.ing to request deletion, subject to applicable legal requirements and exceptions.

Browser consent preferences expire 183 days after being saved. Google Analytics information is retained according to the settings applied to our Analytics property. Website and email-delivery log retention depends on the relevant system configuration.

9. Security

We use security measures intended to protect personal information against unauthorized access, loss, misuse, or disclosure. No website, email service, or storage system can guarantee complete security. Please avoid sending unnecessary sensitive information through website forms or email.

10. Your choices and rights

You can contact privacy@golfbook.ing to ask about the information we hold about you, request access or correction, request deletion, or raise a concern about our handling of information. We may need to verify your identity before responding.

Depending on applicable law, you may also have rights to restrict or object to processing, obtain a portable copy of information, or withdraw consent. Some requests are subject to legal exceptions. We respond within applicable legal time limits and explain relevant restrictions when they apply.

You may complain to the Office of the Privacy Commissioner of Canada or another privacy regulator with jurisdiction. In the UK this may be the Information Commissioner’s Office; in the European Economic Area, it may be the supervisory authority in the country where you live, work, or believe an infringement occurred.

11. Additional information for EEA and UK visitors

Where the GDPR or UK GDPR applies, 2654131 ONTARIO INC., operating as GolfBooking, is the controller for the main website activities described here.

We rely on consent for optional analytics and other optional technologies where required. We rely on legitimate interests in responding to business inquiries, arranging demonstrations for organizational contacts, operating and securing the website, keeping relevant correspondence, and establishing or defending claims, taking account of individuals’ rights. Where you personally request steps toward a contract, processing necessary for those steps may be based on that request. We also process information to meet applicable legal obligations.

You may object to processing based on legitimate interests and withdraw consent for processing based on consent. In particular, you may object to direct marketing at any time.

12. Changes and contact

We may update this policy when website practices or legal requirements change. The published version will show its effective or last-updated date. We will provide additional notice or obtain consent where required.
